On-site vs. off-site shredding: keeping the chain of custody straight

On-site jobs end at the curb. Off-site jobs have three more steps. Here's how to record each one so nothing goes missing between the client and the shredder.

Chain of custody is the recorded trail from the moment material leaves your client's hands to the moment it's destroyed. For on-site jobs, that trail is short. For off-site jobs, it stretches across a truck ride, an unload and a plant run, and every handoff needs a time and a name.

On-site jobs: one stop, one certificate

  1. 1The driver arrives and records the arrival time.
  2. 2Containers are shredded in the truck, often while the client watches.
  3. 3The client signs, and the driver records the departure time.
  4. 4The certificate of destruction is issued from that record and sent to the client.

Off-site jobs: four steps, four records

  1. 1Collected: at the stop, the driver records what was picked up and the client gets a pickup receipt. This starts the chain of custody.
  2. 2Received at plant: back at the depot, someone marks the truck's material as received, with the time and their name.
  3. 3Destroyed: a plant operator runs a destruction batch, recording the date, time and which jobs it covered.
  4. 4Certified: only after the batch is complete is a certificate issued for each job.

Common gaps to close

  • Issuing an off-site certificate before the material is actually destroyed
  • No record of who unloaded the truck or when
  • Pickup receipts that live only on paper in the cab
  • Destruction batches that don't say which jobs they included

How Trakro handles it

Trakro tracks each off-site job through collected, received at plant and destroyed, with a time and person at every step. Pickup receipts go out from the stop, and certificates are issued only when the destruction batch is complete, never before.

Let Trakro handle the paperwork.

Certificates, chain of custody and invoices, built from every stop.
